Casual Medical Receptionist: The Junction
Join Happy Feet Podiatry as a Medical Receptionist at our busy clinic in The Junction, Newcastle. We’re looking for a warm, organised receptionist to be the friendly first point of contact for patients visiting our established podiatry practice. This casual role offers varied hours Monday to Friday, no weekend work, and the chance to build a long-term career in a supportive, close-knit team.
About the role
As our receptionist, you’ll play a pivotal part in delivering the warm, professional experience Happy Feet Podiatry has been known for since 2012. You’ll manage appointments via Nookal (our practice management software), greet patients as they arrive, process claims through Medicare, DVA and private health funds, and keep the clinic running smoothly alongside our team of podiatrists.
A typical day
- Greet patients warmly and check them in for appointments
- Answer phone and email enquiries, book and reschedule appointments
- Manage the clinic diary in Nookal
- Process payments via HICAPS and EFTPOS, generate invoices
- Submit Medicare, DVA and private health fund claims
- Confirm upcoming appointments via SMS and phone
- Follow up on recalls and missed appointments
- Coordinate with our podiatrists to keep the clinical day flowing
- Maintain accurate patient records and ensure privacy compliance with the Australian Privacy Principles
- Manage stock, consumables and general clinic admin
- Keep the reception area clean, tidy and welcoming
What we’re looking for
Essential:
- Previous experience in medical, dental or allied-health reception (minimum 6 months)
- Proficiency with practice-management software: Nookal experience highly regarded; Cliniko, Front Desk, Halaxy or similar is also relevant
- Comfortable processing Medicare, DVA and HICAPS claims
- Strong phone manner and genuine warmth with patients
- Solid computer skills (Microsoft Office, email, cloud-based systems)
- Excellent attention to detail and organised approach to admin
- Reliable and flexible: happy to cover shifts when needed
Nice to have:
- Background in podiatry or musculoskeletal healthcare
- Basic clinical terminology (foot anatomy, orthotics, diabetic foot care)
- Infection-control awareness
- Certificate III in Business Administration or Medical Administration
